Hola ActiveRain Community!
Here I go again. Today I will blog about e-mail etiquette. Not only our e-mail address needs to remain strictly professional, so do our e-mail messages, naturally.
The new trend is for companies to implement an e-policy (policy of how an employee, independent contractor, or even freelancer must behave online). The e-mail policy, in particular, not only gives the company a competitive edge, it also helps reduce liability:
''E-mail is the highest ranked application for data protection requirements, business e-mail will grow by 25-
30% annually through 2009, and federal regulations and laws now dictate retention, storage, and retrieval
policies of e-mail – with quantifiable penalties for non-compliance.E-mail is considered a written business
record that can be subpoenaed and used as evidence in litigation or regulatory investigations."
@Law Magazine,
Spring 2008, Page 36
A company's e-mail policy should be clear and concise, but it can be simple. You can create a brief document that includes the specific do’s and don’ts and defines approved and banned content. If your brokerage firm does not provide you with an e-policy, make your own and distribute it amongst your employees, assistant or virtual assistant, whatever the case may be. In any case, be sure that whoever is communicating with your clients and vendors and/or representing you or your firm, is very clear with what your definition of appropriate is for e-mail communication. This, of course, applies to all online and mobile media.
For your guidance, here are some tips that can help you draft your "e-code of conduct":
In summary, always write e-communication from your company's e-mail address as though it was on your
business letterhead. Even personal e-mails sent from the office are being regarded as official company communication.
If we use E-mai effectively, it can become a powerful branding and marketing tool. Train yourself and your staff to communicate with professionalism and it will promote team efficiency and productivity, as well as safeguard your company from liability.
Other tips to consider are:
Make sure every customer or prospect e-mail address is entered in your database.
Never delete sent items. Keep them for reference.
Save a tree and a stamp. Don't print your e-mails and avoid snail mail if not necessary.
Add a disclaimer to your e-mail signature to help protect your company from liability.
Enter the e-mail address last so your message is not accidentally sent under construction.
If you realize that communication by e-mail is not effective or resolving the problem or you believe it to create confusion, communicate by telephone! E-mail is a communication tool, not a substitute for telephone or face-to-face communication.
Have a professional create a branded signature that includes your name, job title, contact information, your logo, a short slogan, tagline or inspirational message, as well as links to your E-mail, website, blog, directions, etc.
Hope you found this information helpful! I look forward to your comments and questions!

I thought I would write about my favorite marketing and communication tool: E-mail. I know all of you would agree if you are in business (or want to get up to speed to the century, really), then you definitely should have an E-mail address!
Well, I think most people do. But would you really want to do business with pret1flow3r@aol-hotmail-yahoo.com or how about with 1tough___guy@aol-hotmail-yahoo.com? I know I wouldn't. It's not that it sounds tacky, it probably says a lot about your personality, hobbies, marital status, religion, and, yes, even the line of business you're in (as in ilovemarketing@a-free-account.com), but the reality is, it's simply NOT professional. I would even say it is not appropriate. And yes, I know you'll still attract some prospects and get some leads, but you're also bound to shoo some away, as well.
I would even go as far as stating that you should avoid free e-mail accounts altogether. I don't understand why people are using their AOL e-mail account - or their Earthlink e-mail account or their "yes I'm going to say it" Comcast e-mail account to conduct business. Free accounts are a blessing and blessings should be appreciated, but let's all use our Yahoo!s for personal contacts only.
My Naples Marketing blog is all about your image. Your image should be as successful as you wish to be with your business. And your e-mail address is part of your image. And, if we established that e-mail is much needed and almost expected in today's business world, then why not use to your advantage and really use it effectively? I assure you, it will pay off.
5 Simple
Steps :
1- E-mail@yourcompany.com - Yes! If you haven't already done so, then register a domain name and get e-mail hosting with it. Hopefully, you will be able to match your name:www.elaynafernandez.com, or your
company name: www.designed2impress.com; if you don't, you can get creative and add a location:
www.yourcompanynameSWFL.com or describe your niche: www.wedomarketinghere.com.
2- Info? Again? - Yes, it is standard. And so is everyone else! Why not make a difference? It could be your
title: youragent@myreal3statecompan1.com or your name: jane.doe@myreal3statecompan1.com or simply
jane@myreal3statecompan1.com. Identify yourself and the prospect will feel less intimidated to contact you (who is "Info" anyway?). Use it to hint your business role, the nature of your work, your attitude, your priorities... find a way to make it memorable.
3- The "my clients/vendors/partners use my AOL account" Myth - of course they do! They also used to call your land line before you had a cell phone. But things change and now you have branded e-mail, which they should use. I admit it can get kind of tricky but there are tons of ways of going around this issue and consolidating your e-mail accounts and point them to one single account. At this point, you can start sorting personal and business contacts and the transition can be easier on you.
4- Sign in Style! - Don't just use a text-based signature (your name, job title, contact information). Really
brand your e-mail messages. Add the company logo, the company tagline, your personal motto, and, my favorite, links to your website, your e-mail address, your blog, your strategic partners, resources for your clients, etc. This can be achieved by hiring a professional to design a branded HTML based e-mail signature. E-mail me for more information.
5- The Blackberry Brief - Not to pick on our favorite toys, but I seriously don't want to know that the e-mail was "Sent from Blackberry" or "Sent from iPhone". I don't mean to be a nag, but your clients sometimes are and we need to think like our clients (even the I-can-never-be-pleased types), so let's logon to the Blackberry website and the iPhone website...and let's replace the default message with our professional text-based signature that has all the information for a lead to reach you immediately.
If you follow these simple steps, you will certainly see the results. Brand recognition is huge in marketing
your business or marketing yourself, and e-mail is a -and free- perfect way to position yourself and make a
favorable statement and a good impression.

Welcome to the Naples Marketing Blog!

My name is Elayna Fernandez. My company, Designed 2 Impress, Inc. is based in Naples Florida and serves the Naples FL, Estero FL, Bonita Springs FL and Marco Island FL areas in Collier and Lee County.
With the Naples Marketing blog, I intend to offer the real estate community with valuable marketing advice on and off the Web. I love working with real estate agents and small business owners that wish to market themselves effectively but yet lack the resources to implement a marketing department and the time to deal with multiple vendors, whose ideas, designs and ethics clash most of the time. I hope to communicate my ideas and guidance to those individuals through the Naples Marketing blog. I would love to hear from them (you!) and engage in open discussions about different marketing topics or business-related topics in general.
Though my marketing services in Collier County and Lee County include print collateral, I have to confess my fascination and trust for the power of the Web. According to recently published statistics, about 86% of today’s online searches are conducted to find local businesses. About 68% of small local businesses do not have a website to market their products and or services. With my very affordable Website Naples web design packages, I am determined to make it possible. The Website Naples packages also include a free domain name for a year and free Organic Search Engine Optimization. You can also add a Spanish version for next to nothing, which will help you capture the ever-growing Hispanic market.
In addition, with my direction, Small Business owners in Southwest Florida have the opportunity to explore the multiple free or low cost avenues of Search Engine Marketing and online networking.
It is my wish that the Naples Marketing blog becomes Your Marketing Aid and an ally to contribute to your business thriving and the sales closing!
Again, welcome! And thank you for your time!
Elayna Fernandez
